The Vic Theatre is now available for rent for your special event. Perfect for independent screenings, fundraisers, presentations, or parties.
Every event is different, but many people share the same questions. We've put together the answers to the most frequently asked questions.
If you’re doing a private screening, you don’t need to have your film rated, however, if your event is open to the public, your film must be rated in the province of B.C.

Bookings and Questions
The Vic Theatre is available on a first come first served basis. We schedule our programming 2 months in advance. Please check date availability with the Vic Theatre Manager. Bookings are not considered confirmed until a 50% deposit is received and a contract signed.
Renters are responsible for selling their own tickets both in advance and at the door. We do not have a POS system or cash float available for private rentals. The VFF can provide online advance ticket sales for an additional fee. Contact The Vic Manager for more details.
Rentals include the services of one VFF staff member to open and operate basic lights and sound. Additional labour fees are dependent on requirements of the renter.
Rentals do not include ushers or box office staff. Renters must supply a front of house manager to oversee ticket sales and venue security while an audience is present unless other arrangements with the VFF are made.
Graphic Design Services
If you require graphic design services for your event, we can provide that at an additional $50/hour.
WiFi is available for your event upon request at an additional fee of $40. This is an excellent option if you need to stream a presentation to the screen, such as a Powerpoint presentation.
The venue is fully wheelchair accessible.
A certificate of public liability and property damage insurance for a minimum of $2 million of coverage per event is required. This is to be submitted to The Victoria Film Festival no later than 1 week before the event. If you’re a non-profit society or a business, you can likely have the Victoria Film Festival added as an additional insured party to your existing Commercial General Liability (CGL) policy for the rental date at little or no cost. If you don’t have an insurance policy already in place, you can obtain special event insurance form an insurance broker (ie: palcanada.com)
The Marquee on the front of the theatre can be used to advertise your event. There is a $40 fee to display your message (40 characters or less) on the marquee, and includes 2 days on display. Additional days on the marquee are available at rate of $20 per day, based on availability.
We can arrange for a Concession Attendant to sell popcorn, soda and candy for your event. Concession is charged at house prices plus $40 fee. All other food and drink must be arranged by the Client, outside catering charges are on a per event basis.
If you intend on having wine or beer at your event, you must bring this to the attention of the theatre manager upon signing the contract. The Vic has its Liquor Primary license, so no Special Occasion License is required.
The renter is responsible for cleaning the theatre after an event: typically this means sweeping popcorn and collecting cans and bottles, but it does vary. Any additional cleaning deemed necessary by the manager will be charged to the renter at a rate of $40/hour. Alternately, you may choose to have theatre staff do the cleaning for a fee of $100.
The Vic Theatre is available for 4 hour ($700), 8 hour ($950), and 1 week ($2900) rentals.
A Non-Profit Society rate is available at 4 hour ($500), 8 hour ($850), and 1 week ($2400) rentals.
The times reserved must include the time to set-up and take down. Any additional time required will be charged at $100/hour.
Overtime Prices/Extra Fees
Bookings are for four hour, eight hour, or one week blocks. If an event continues beyond the rental period, it will be subject to an additional $100/hr fee. This is on a per-day basis and covers the cost of the personnel fees only.
Any costs incurred due to damage, or cleaning in order to return the venue to pre-rental condition will be passed on to the renter.
A 50% deposit of the total rental is required to reserve a booking. The balance is due 30 days after the rental is completed and upon presentation of a final invoice that includes the balance owing and any additional incurred fees. A $200 damage deposit is due 10 days before the event and will be settled and returned within seven days of the event’s conclusion.
